Requirements:
  • 5+ years of professional experience in a similar role, with 2-3+ years of experience being an Executive Assistant to a Vice President+ level role in a technology company.
  • Preference is for candidates with prior Executive Assistant experience to a C-level executive in a technology company.
  • You are a self-starter who is highly motivated and comfortable with taking on multiple work streams and priorities
  • You have excellent organizational, prioritization, and problem solving skills
  • You can think on your feet, and shift to changing needs and priorities
  • You have strong written and verbal communication skills, including confidently communicating to stakeholders across the organization

Responsibilities:
  • Be a trusted partner to our executives, providing administrative and strategic support on a day to day basis
  • Act as a gatekeeper for your leaders, managing calendars and scheduling meetings according to your leaders’ priorities
  • Regularly review operating practices and meeting cadencies, and propose and implement improvements
  • Plan and execute department level offsites, meetings, and events
  • Coordinate travel and related accommodations for your leaders
  • Drafting communication and emails on behalf of the leader
  • Assist the leader with inbox management
  • Assist with any meeting and public relations (PR) preparation, such as gathering details and briefing materials
  • Attend critical meetings of the executive and ensure action items are completed
  • Create and manage expenses for your leaders and any department and team events
  • Manage and drive special projects for your leaders and their departments
  • Work closely with other executive assistants to ensure that Vanta's Leadership Team is staying coordinated on meetings and action items
  • Assist with the Executive Administration team’s strategic projects - the Executive Administration team is part of the People Team, and works on a wide variety of interesting projects to help Vanta meet its business objectives
