Requirements

  • 7-10 years of experience in program management, chief of staff, or business operations roles.
  • Proven track record of supporting VP-level or higher executives in fast-moving environments.
  • Demonstrated ability to exercise independent judgment and manage stakeholder expectations on behalf of an executive.
  • Excellent written and verbal communication skills with the ability to distill complex information into concise summaries.
  • Strong organizational skills and ability to build systems for tracking work and information independently.
  • Comfort with ambiguity and ability to scope vague requests into actionable plans.
  • Ability to challenge senior leadership constructively when necessary.
  • Proficiency with modern operating tools including Confluence, Jira, Slack, and Google Workspace.
  • Comfortable working with AI tools.
  • Preferred: Experience in video games, film, or TV production industries.
  • Preferred: Familiarity with game development production processes and lifecycle milestones.
  • Preferred: Experience working with distributed teams across time zones.

Responsibilities

  • Own the GM's recurring meeting cadence, including leadership syncs, milestone reviews, and department one-on-ones.
  • Build and maintain agendas, confirm objectives, and capture action items for all GM-led meetings.
  • Consolidate status, risks, and key metrics from Production, Engineering, Art, and other departments into decision-ready executive summaries.
  • Maintain a division-level risk register and track open decisions to resolution.
  • Manage the division's OKR tracking and coordinate input for QBRs and board-level reporting.
  • Identify operational inefficiencies and improve processes for meeting management and cross-functional reporting.
  • Prepare the GM for external meetings and partner commitments with necessary briefing materials.
