- Contact incoming leads through phone and email, and efficiently schedule consultations.
- Use a confident, consultative communication style to guide patients in booking appointments and, where appropriate, securing deposits or payments.
- Guide patients in the completion of new patient forms.
- Manage rescheduling, follow-ups, and reminders to ensure appointment adherence.
- Maintain accurate and up-to-date patient records in CRM and administrative systems.
- Coordinate practitioner schedules to optimize clinic operations and ensure smooth workflow.
- Foster ongoing patient relationships through check-ins, answering questions, and managing recall systems.
- Process payments accurately, manage billing records, and address patient inquiries in accordance with clinic policies.
- Uphold privacy, confidentiality, and compliance standards at all times.
- Liaise with health insurers if required, and support reporting on key performance indicators (KPIs).
- Perform additional responsibilities as needed to support clinic operations, team growth, and patient satisfaction.
