Requirements

  • Proven experience as an Executive Assistant, Operations Assistant, or similar role supporting senior leadership.
  • Excellent written and verbal English communication skills.
  • Strong organizational skills managing calendar, travel, operations, and finance priorities.
  • Ability to manage vendor relationships and operational logistics independently.
  • Detail-oriented with strong follow-through on billing and documentation.
  • Proactive, self-directed mindset capable of anticipating needs in a fast-paced environment.
  • Familiarity with productivity platforms like Google Workspace, Slack, or Notion.
  • Experience with revenue operations or client invoicing.
  • Experience with RFP/RFI submissions in a B2B technology environment.
  • Ability to work during US business hours.
  • Submission of a 1-2 minute introductory Loom video.

Responsibilities

  • Manage end-to-end calendar, including scheduling, conflict resolution, and meeting preparation for the founder.
  • Coordinate international travel, including flights, hotels, ground transport, and detailed itineraries.
  • Handle recurring operational tasks such as office rent, utilities, insurance, and vendor management.
  • Oversee revenue tracking, prepare client invoices, and manage follow-ups for outstanding payments.
  • Research, compile, and support the submission of RFP and RFI documents while maintaining a library of standard responses.
