Requirements

  • 3+ years of experience in an Executive Assistant, Office Manager, or Operations Support role.
  • Proven experience managing email/calendar systems and scheduling for an executive or founder.
  • Proficiency with CRM tools (e.g., HubSpot, Zoho, Salesforce, Monday.com) or strong aptitude to learn Odoo.
  • Comfort managing multiple workstreams such as admin, sales support, and logistics independently.
  • Strong written and verbal English communication skills.
  • Detail-oriented with a process for error prevention.
  • Reliable, dedicated home workspace with backup internet and equipment.
  • Availability to work full-time during US business hours (Central Time overlap preferred).
  • Based in LATAM.

Responsibilities

  • Set up and configure Odoo CRM and migrate order tracking from notes to the system.
  • Manage customer communications for orders, including custom branding and production details.
  • Support the founder's sales process through prospecting, follow-ups, and scheduling.
  • Coordinate bulk corporate gifting orders from intake through final fulfillment.
  • Maintain Inbox Zero, optimize calendar management, and extract action items into a trackable system like Notion.
  • Monitor inventory levels and coordinate with production managers on order timelines.
  • Compile recurring company scorecards and metrics summaries for the founder.
