Requirements

  • High school diploma or equivalent (Associate's or Bachelor's degree preferred).
  • Minimum 1–2 years of experience in healthcare intake, patient access, or insurance coordination.
  • Working knowledge of health insurance terminology (prior authorizations, eligibility, EOBs, Medicaid managed care).
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite or Google Workspace.
  • Strict adherence to HIPAA regulations.
  • Bilingual in English and Spanish (strongly preferred).
  • Experience with EHR systems or CRM platforms (preferred).
  • Ability to manage multiple active cases simultaneously with high accuracy.
  • Access to stable primary and backup internet connections.
  • Hardware meeting minimum specs: Intel Core i5 (8th gen+) or AMD Ryzen 5, 8GB RAM, plus backup device.
  • Dedicated home office space with webcam and noise-canceling USB headset.

Responsibilities

  • Receive and log incoming referrals via phone, fax, email, and portals.
  • Verify insurance coverage, benefit levels, and ABA service authorization requirements.
  • Collect and organize intake documentation including evaluations and consent forms.
  • Submit prior authorization requests to Medicaid and commercial payers.
  • Maintain accurate records and audit intake files for documentation gaps.
  • Communicate professionally with families and providers throughout the enrollment process.
  • Collaborate with clinical, billing, and scheduling teams to hand off cases for service delivery.
