Requirements
- 2+ years of experience in an administrative, sales operations, client success, customer support, or coordinator role.
- Exceptional attention to detail, particularly when working with pricing, contracts, and client information.
- Experience using CRM platforms such as Salesforce or HubSpot.
- Comfortable working with e-signature platforms (DocuSign, Adobe Sign, PandaDoc, etc.).
- Proficient with Microsoft Office and/or Google Workspace.
- Strong written communication skills with a professional, client-facing tone.
- Excellent organizational and time management skills with the ability to prioritize multiple requests.
- Able to work independently and maintain confidentiality when handling sensitive client and pricing information.
Responsibilities
- Prepare and format client-facing quotes and renewal proposals based on Customer Success Manager (CSM) inputs.
- Generate contracts, order forms, and renewal agreements, and route documents for e-signature while tracking completion.
- Maintain accurate client records in Salesforce (or similar CRM), including opportunities, renewal dates, contract details, and activity logs.
- Support renewal and cancellation workflows by preparing documentation and coordinating with Client Success, Billing, and Finance teams.
- Draft and send routine client communications using approved templates.
- Organize and maintain shared proposal libraries, templates, and client documentation.
- Coordinate scheduling and meeting logistics, including calendar invites, reminders, and meeting materials.
- Proactively identify missing information, errors, or upcoming deadlines and follow up to keep projects moving.
- Assist with Client Kickoffs, Quarterly Business Reviews (QBRs), and Success Plan coordination.
