Requirements

  • Bachelor's degree in Business Administration, Accounting, Finance, or related field.
  • 3–5 years of experience in an administrative, HR, finance, or operations management role.
  • Strong understanding of HR processes, payroll administration, and accrual accounting.
  • Advanced proficiency with Google Workspace (especially Google Sheets) and Microsoft Office.
  • Experience using QuickBooks Online and payroll systems like Gusto.
  • Ability to independently research and resolve technical, payroll, accounting, or compliance questions.
  • Highly organized and detail-oriented with the ability to manage multiple priorities.
  • Ability to exercise excellent judgment and maintain strict confidentiality.

Responsibilities

  • Provide daily administrative support to Company leadership.
  • Manage and organize electronic records, calendars, and shared drives.
  • Develop, implement, and improve office policies and procedures.
  • Lead recruiting, hiring, and onboarding processes for new employees.
  • Process bi-weekly payroll and ensure multi-state tax and employment compliance.
  • Oversee accounts payable and receivable in QuickBooks Online.
  • Prepare and submit monthly grant and contract invoices.
  • Track and reconcile company credit card transactions and maintain cash flow projections.
