Requirements

  • Minimum of 5 years of experience in a managerial role (required).
  • Experience working with U.S.-based companies (required).
  • Demonstrated experience managing operational projects and improving business processes.
  • Experience supervising administrative or operations teams, including recruitment and performance management.
  • Strong understanding of operational reporting, business processes, and workflow optimization.
  • Proficiency in Salesforce, GoHighLevel, or other CRM platforms (required).
  • Advanced experience using monday.com to manage projects and workflows (required).
  • Proven ability to leverage AI tools for operational efficiency and workflow automation.
  • Ability to support an executive in a fast-paced environment with strong discretion and judgment.

Responsibilities

  • Support the COO in executing strategic initiatives, overseeing day-to-day operations, and coordinating cross-functional projects to keep priorities, deadlines, and deliverables on track.
  • Build, implement, document, and continuously improve operational workflows, SOPs, systems, and internal processes.
  • Monitor operational performance and drive continuous improvement through AI, automation, and technology-driven solutions.
  • Develop scalable systems and optimize workflows within monday.com to improve efficiency and team accountability.
  • Support business development activities, including networking, marketing, and client engagement.
  • Maintain and optimize the firm's CRM system to support lead management and client communications.
  • Supervise administrative and support staff, providing coaching and performance support.
  • Support recruitment, onboarding, and new hire integration.
  • Manage vendor relationships, software subscriptions, office resources, and operational expenses.
