Requirements

  • 3-5+ years of experience in corporate billing, regional/international payroll coordination, accounts receivable, or bookkeeping.
  • Strong practical experience with QuickBooks Online, including recurring templates and invoice lists.
  • Complete mastery of Excel/Google Sheets, specifically VLOOKUP, mathematical formulas for proration, and Pivot Tables.
  • Exceptional attention to detail in cross-referencing multiple databases to find financial variances.
  • Fluent written English communication skills.
  • Availability for a 20-hour workweek (Part Time).
  • Ability to work flexible hours in the US timezone.
  • Reliable, high-speed internet connection (minimum 10 MBPS).
  • Laptop or desktop meeting minimum specs: 8GB RAM and i5 processor.
  • Distraction-free work-from-home setup.

Responsibilities

  • Track and compile active agent payroll data across Jamaica, the Philippines, and Puerto Rico.
  • Partner with regional operating managers to receive and process payroll files.
  • Review regional payroll spreadsheets for adjustments, deductions, and stipends before processing deadlines.
  • Process monthly client invoices through QuickBooks Online using payroll records and ATS data.
  • Calculate prorated amounts and issue credit memos for agent changes.
  • Perform data reconciliation between the ATS, QuickBooks, and payroll systems to resolve discrepancies.
  • Manage client banking and ACH authorization data in the bank portal.
  • Follow up on client collections and track invoice status.
