Requirements

  • 3-5+ years of experience in corporate billing, regional/international payroll coordination, accounts receivable, or bookkeeping.
  • Strong, practical experience with QuickBooks Online, including navigating client directories, setting up recurring templates, and pulling invoice lists.
  • Complete mastery of Excel and Google Sheets, specifically VLOOKUP, mathematical formulas for proration, and Pivot Tables.
  • Exceptional attention to detail with experience cross-referencing multiple databases to find financial variances.
  • Fluent written English communication skills.
  • Available for a 20-hour part-time workweek.
  • Flexible to work in US timezones.
  • Ability to maintain a distraction-free work-from-home setup.
  • Computer with at least 8GB RAM and i5 operating system.
  • Reliable high-speed internet connection (minimum 10 MBPS).

Responsibilities

  • Track and compile active agent payroll data for teams across Jamaica, the Philippines, and Puerto Rico.
  • Partner with regional managers to receive and process payroll files.
  • Review regional payroll spreadsheets to account for adjustments, deductions, and bonuses.
  • Process monthly client invoices through QuickBooks Online using payroll and ATS data.
  • Monitor, update, and manage recurring invoice templates in QuickBooks.
  • Perform VLOOKUP cross-references and data reconciliation between the ATS, QuickBooks, and payroll data.
  • Register clients into the bank portal and manage automated ACH collection adjustments.
  • Track invoice statuses and follow up on client collections.
