Requirements
- 3–4+ years of experience as an Executive Assistant, Operations Assistant, or in a similar operational support role.
- Strong experience in process documentation, workflow design, or SOP creation.
- Proven ability to manage data tracking, reporting, and structured project coordination.
- Experience supporting recruitment processes, including sourcing and candidate coordination, is highly desirable.
- Proficiency with productivity and communication tools such as Notion, Google Workspace (especially Sheets), Slack, LinkedIn, and calendar systems.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills with a high level of attention to detail.
- Ability to work autonomously, take initiative, and proactively identify operational improvements.
- Comfortable in tech-driven environments and quick to learn new tools and systems.
- Experience supporting founders or fast-moving teams is a strong advantage.
- High level of discretion and ability to handle sensitive or confidential information.
- Reliable technical setup, including a modern laptop, high-speed internet, and professional audio equipment.
Responsibilities
- Support executive operations by organizing workflows, tracking tasks, and ensuring clear visibility across ongoing projects and priorities.
- Build, maintain, and improve structured systems in tools such as Notion to centralize task management, SOPs, meeting notes, and operational documentation.
- Assist in the development and documentation of scalable business processes, transforming informal workflows into structured, repeatable systems.
- Manage data collection, reporting, and performance summaries to support decision-making and operational oversight.
- Coordinate hiring and recruitment activities, including sourcing candidates, managing outreach, and maintaining structured candidate pipelines.
- Schedule interviews and meetings, ensuring smooth coordination across multiple stakeholders and time zones.
- Support email and communication workflows by triaging messages, drafting responses, and maintaining organized inbox systems.
- Track progress across team responsibilities and proactively flag risks, delays, or blockers to ensure accountability and execution.
- Continuously improve internal systems by identifying inefficiencies and implementing more effective operational solutions.
