Requirements

  • Proficient in speaking and writing English clearly.
  • Previous healthcare or medical office experience preferred.
  • Prior virtual assistant or front desk experience preferred.
  • Experience using EMR/EHR systems preferred.
  • Familiarity with Optima EMR is a plus.
  • Ability to manage high call volumes efficiently.
  • Reliable and consistently available during work hours.
  • Access to a reliable laptop/desktop with high-speed internet.
  • Access to a noise-canceling headset and webcam.
  • Ability to submit an NBI clearance or Local Police Clearance background check.

Responsibilities

  • Answer incoming patient calls professionally and return missed calls/voicemails promptly.
  • Schedule and manage patient appointments according to clinic protocols.
  • Maintain accurate scheduling within the EMR system.
  • Respond to patient emails and text messages.
  • Handle incoming fax communications.
  • Maintain organized patient communication records.
  • Support remote front desk operations and collaborate with in-office staff.
