Responsibilities

  • Draft, format, and manage Statements of Work (SOWs) for new client engagements, ensuring accuracy and consistency.
  • Maintain a library of SOW templates and continuously improve them based on feedback.
  • Own and execute the Client Onboarding Checklist end-to-end, from Approved Proposal to client kickoff.
  • Create the Client Onboarding Checklist in ClickUp and populate client/AE/Ops names, then share with AE and VP of Growth.
  • Create and send the SAO (Service Agreement/Onboarding Statement) from pre-approved templates.
  • Draft and send the onboarding statement for AE review; ship the final SAO to the client within 48 hours of verbal confirmation.
  • Send the onboarding questionnaire to the client and own follow-up.
  • Submit the estimate builder to the PR forum, and notify relevant channels. Set up the client’s Google Drive folder.
  • Upon SAO signing, send the executed SAO to Finance and INA for review.
  • Create an internal briefing doc from Fathom proposal notes and the SAO; notify the AE for Loom review.
  • Save the fully executed SOW in the HubSpot deal record and the client’s Google Drive folder.
  • Follow up with Finance and directly with the client to confirm deposit payment.
  • Once SAO is signed and deposit confirmed, book the internal handoff call.
  • Introduce the client to their assigned Account Manager and coordinate kickoff call booking.
  • Partner with marketing to ensure sales team has up-to-date, high-quality sales enablement materials.
  • Track the status of in-progress enablement assets, flag gaps, and coordinate timelines with marketing.
  • Maintain an organized, accessible repository of all sales materials.
  • Coordinate logistics for prospect and team meetups at industry conferences and events.
  • Track Foundation’s conference calendar and ensure the sales team has what they need.
  • Act as an extension of the VP of Growth, handling reactive tasks and ad-hoc requests.
  • Help prepare meeting materials, follow-up summaries, and next-step documentation.
  • Identify and flag process gaps, suggesting improvements for sales team efficiency.
