Requirements:
5+ years of C-Suite executive assistant experience in a fast-paced organization. Exceptional organizational and time management skills. Ability to handle multiple priorities and shifting demands. Strong written and verbal communication skills. Able to draft, proof, and edit professional correspondence and reports. Advanced proficiency in Google Workspace (Calendar, Docs, Sheets, Slides, Drive). Comfort with tools like Asana, Align, and Slack. Proactive and resourceful. Able to anticipate needs and resolve issues. High degree of discretion and professionalism in handling sensitive and confidential information. Proven ability to manage complex scheduling and travel logistics across multiple time zones. Detail-oriented with strong follow-up skills. Collaborative and adaptable. Composed under pressure, maintaining accuracy and judgment.
Responsibilities:
Manage and coordinate calendars for the CEO and COO, scheduling/rescheduling meetings. Resolve scheduling conflicts and optimize executive time. Provide daily & weekly schedule briefings. Assemble meeting materials and confirm attendee preparations. Capture action items from leadership discussions and follow up. Keep a list of key actions for CEO/COO assistance. Review, organize, and manage incoming emails and messages. Draft and send professional correspondence on behalf of executives. Follow up on meeting action items. Facilitate clear communication between executives and department leaders. Collaborate to prepare and proofread executive presentations. Draft, proofread, and edit reports and internal communications. Handle confidential information with discretion. Support ad hoc projects including research and report development. Track progress on company and executive priorities. Gather data, summarize findings, and create concise briefings. Assist with documentation and process tracking for key initiatives. Coordinate with Department Heads for updates and materials. Administer the Align leadership tracking software. Arrange domestic and international travel, including flights, rental cars, accommodations, and ground transportation. Prepare detailed travel itineraries. Coordinate with Event Planning team for executive meeting logistics.
