Requirements

  • 2-4 years of experience in recruiting coordination, HR/people operations, or a comparable role such as executive assistant or project coordination.
  • Proven experience scheduling high-volume, multi-interviewer interviews across time zones.
  • Proficiency with ATS and calendar tools; experience with Greenhouse and Google Workspace preferred.
  • Working knowledge of an HCM/HRIS platform (e.g., Rippling, Lattice) for managing workflows and reporting.
  • Strong organizational skills and the ability to triage urgent tasks effectively.
  • Sharp attention to detail regarding compliance documentation, interview logistics, and employee data.
  • Clear and professional written and verbal communication skills.
  • Genuine interest in leveraging AI tools to automate tasks and improve team productivity.
  • Familiarity with onboarding logistics and HR compliance, including I-9 verification, is a plus.

Responsibilities

  • Manage complex, later-stage interview scheduling across multiple time zones including video, onsite, and panel formats.
  • Coordinate full logistics for onsite interviews, including room reservations, visitor access, travel, and accommodations.
  • Act as the primary point of contact for candidates and interviewers to resolve scheduling conflicts.
  • Execute end-to-end onboarding logistics, such as training travel, session scheduling, and new hire gear distribution.
  • Manage I-9 verification and maintain accurate employee records in the HRIS.
  • Track mandatory new hire training and employee pulse surveys.
  • Administer employee recognition programs and handle requests for company swag and gifts via Jira.
