  • Advanced proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets).
  • Experience using AI meeting assistants such as Fireflies.
  • Familiarity with project management platforms like Asana, ClickUp, Notion, or Jira.
  • Exceptional written and verbal English communication skills.
  • Strong attention to detail and ability to exercise sound judgment independently.
  • Experience handling confidential information with professionalism.
  • Preferred: Background in construction, real estate, facilities, or property management.
  • Preferred: Experience in fast-growing startups or scaling organizations.
  • Preferred: Familiarity with workflow automation and AI-powered productivity tools.

Responsibilities

  • Own and manage the executive's calendar, balancing competing priorities and protecting strategic focus time.
  • Coordinate meetings across multiple stakeholders and time zones, ensuring agendas and briefing materials are prepared.
  • Utilize AI-powered meeting assistants to capture transcripts, generate summaries, and track action items.
  • Manage and prioritize inbox communications, drafting professional correspondence on behalf of the executive.
  • Coordinate multiple operational initiatives, maintaining project trackers and ensuring milestones are met.
  • Manage domestic travel arrangements, itineraries, and expense report processing.
  • Support operational planning sessions and continuously improve administrative workflows.
