Requirements

  • 3+ years of experience supporting senior executives, founders, leadership teams, or working in operations-focused roles.
  • Strong background in executive assistance, project coordination, business operations, or similar functions.
  • Excellent written and verbal English communication skills.
  • Exceptional organizational skills with strong attention to detail and follow-through.
  • Experience managing executive calendars, inboxes, priorities, and administrative workflows.
  • Ability to handle sensitive information with professionalism and discretion.
  • Comfortable collaborating directly with founders and senior stakeholders.
  • Experience using CRM platforms and productivity tools such as Google Workspace, Slack, Notion, or similar solutions.
  • Strong problem-solving skills with the ability to anticipate needs and take initiative.
  • Ability to manage multiple projects, conversations, and deadlines simultaneously.
  • Self-motivated and capable of working independently in a fully remote environment.

Responsibilities

  • Manage executive communications, including inbox organization, prioritization of messages, drafting responses, and ensuring timely follow-up.
  • Maintain efficient calendar management by coordinating meetings across time zones, resolving conflicts, and protecting focus time.
  • Support executive travel planning, meeting preparation, and other administrative requirements.
  • Manage professional social media presence by drafting content, organizing communications, and handling inbound messages with discretion.
  • Support customer outreach initiatives through prospect research, lead qualification, personalized messaging, and follow-up sequences.
  • Maintain accurate CRM records and ensure customer, investor, and partner information is organized and up to date.
  • Build and manage target account lists and support outbound growth campaigns.
  • Coordinate internal meetings, team activities, and operational processes to ensure smooth execution.
