Requirements
- Minimum of 3 years of experience as an Executive Assistant, Executive Administrator, or similar executive support role.
- Proven experience supporting C-level executives, founders, or senior leadership teams.
- Proficiency in bookkeeping and finance administration (invoicing, accounts payable/receivable, expense management, bank reconciliations).
- Technical proficiency with accounting software (e.g., Xero, QuickBooks).
- Experience with marketing operations (CRM management, email marketing, campaign coordination, content scheduling).
- Familiarity with CRM platforms (e.g., HubSpot, Salesforce, Pipedrive).
- Ability to use AI tools (e.g., ChatGPT, Claude, Gemini) for productivity and automation.
- High proficiency in Google Workspace and Microsoft Office applications.
- Strong verbal and written English communication skills.
- Experience with collaboration and project management tools (e.g., Slack, Zoom, Notion, Asana, ClickUp).
- Reliable high-speed internet and a professional remote work environment.
Responsibilities
- Manage calendars, schedule meetings, and handle communications for clients.
- Coordinate domestic and international travel arrangements and logistics.
- Execute bookkeeping tasks including invoicing, expense management, and bank reconciliations using platforms like Xero or QuickBooks.
- Support marketing initiatives such as email campaigns, content scheduling, and CRM updates.
- Perform administrative duties including document preparation, file maintenance, and meeting minute recording.
- Collaborate with internal stakeholders, accountants, and marketing vendors to ensure efficient business operations.
