Requirements

  • Minimum of 3 years of experience supporting a senior executive, CEO, founder, or leadership team.
  • Bachelor’s degree in Business Administration or a related business discipline preferred.
  • Strong proficiency with Google Workspace and Microsoft Office Suite.
  • Excellent written and verbal communication skills with the ability to interact with internal and external stakeholders.
  • Proven ability to prioritize tasks, manage competing deadlines, and work independently with minimal supervision.
  • Strong attention to detail and ability to maintain accuracy in administrative and operational activities.
  • High emotional intelligence, professionalism, discretion, and strong judgment when handling confidential information.
  • Ability to quickly learn and adapt to new tools, systems, and processes.
  • Familiarity with project management platforms and operational coordination tools.
  • Experience working in a startup or high-growth environment is preferred.

Responsibilities

  • Manage and optimize the CEO’s calendar, inbox, meetings, travel arrangements, and daily coordination with professionalism and discretion.
  • Prepare meeting materials, agendas, presentations, and supporting documentation for internal and external stakeholders.
  • Track strategic priorities, action items, deadlines, and follow-ups to ensure initiatives remain aligned and progress effectively.
  • Serve as a communication bridge between leadership, teams, and external partners to improve collaboration and execution.
  • Support hiring activities, including interview coordination, candidate evaluation processes, and recruitment-related initiatives.
  • Assist with financial and operational processes, including expense tracking, budget preparation, and administrative workflows.
  • Provide ongoing administrative support to ensure efficient day-to-day leadership operations.
  • Participate in special projects and operational initiatives that support organizational growth.
  • Handle sensitive business information with confidentiality, sound judgment, and professionalism.
  • Help improve processes, tools, and workflows to increase executive and team effectiveness.
