Requirements

  • 1–3+ years of experience in business operations, sales operations, executive support, or a similar cross-functional role.
  • Strong organizational skills and ability to manage multiple concurrent, detail-heavy workflows.
  • Experience handling invoicing, billing, or vendor payment processing.
  • Proficiency in CRM systems (HubSpot or similar).
  • Capability to manage the end-to-end contract signature process.
  • Clear, professional written English communication skills.
  • Proactive follow-through and ability to work independently.
  • Comfort working across multiple tools including CRM, payment, HR, and contract platforms.
  • AI-forward mindset with motivation to automate repetitive manual work.
  • Experience thriving in a fast-paced startup environment.

Responsibilities

  • Manage end-to-end contract processes including sending for signature, tracking status, and filing records.
  • Maintain and update contract and agreement templates.
  • Process vendor and ad hoc invoice payments and monitor for payment failures.
  • Track referral and partner payments.
  • Handle billing and subscription system updates during customer offboarding.
  • Manage recurring vendor/partner billing and prepare monthly cost-allocation reports.
  • Process weekly reimbursements and coordinate company card issuance.
  • Track HR policy updates and ensure internal documentation compliance.
  • Document SOPs and identify opportunities for AI-driven automation.
