Requirements
- 3+ years of experience in event operations, logistics, hospitality, or a related coordination role.
- Experience supporting large multi-day or corporate events.
- Exceptional organization skills with high attention to detail.
- Proven ability to manage budgets, contracts, and vendor relationships.
- Proficiency with project management tools such as Asana, Slack, and Google Workspace.
- Experience with event management software like Swoogo or similar platforms.
- Strong hands-on experience with hotels, BEOs, and venue contracts.
- Ability and willingness to travel up to 50% of the time for onsite event support.
- Comfort using AI tools to streamline repetitive tasks.
- Strong project management skills with a focus on ownership and execution.
Responsibilities
- Own end-to-end logistics for Tier 1 owned events, including rooming lists, room blocks, food and beverage, room sets, BEOs, decor, transportation, and onsite flow.
- Manage venue and vendor sourcing, including RFPs, contract reviews, and ongoing vendor relationships.
- Run the operational backbone of each event by building production schedules, conducting site visits, and holding weekly check-ins.
- Coordinate onsite details such as swag, gifting, decor, badges, signage, entertainment, and VIP transportation.
- Execute program details onsite, serving as the primary operational contact to troubleshoot and ensure a seamless experience.
- Oversee day-to-day event budgets, including drafting, processing invoices, and performing final reconciliations.
- Lead project management for each event using Asana and Google Workspace to keep stakeholders and vendors aligned.
- Conduct post-event wrap-up sessions to capture feedback and improve future event performance.
