Requirements

  • 3+ years of experience supporting founders, executives, or senior leaders.
  • Previous experience as an Executive Assistant, Executive Operations Associate, or Operations Coordinator.
  • Exceptional organizational and time-management skills.
  • Excellent written and verbal English communication skills.
  • Ability to prioritize competing responsibilities in a fast-paced environment.
  • Strong problem-solving skills and ability to work independently.
  • High level of professionalism and discretion with confidential information.
  • Experience coordinating calendars and meetings across multiple time zones.
  • Proficiency in Google Workspace, Microsoft Office, Slack, Notion, and Zoom.
  • Ability to work according to US business hours.
  • Experience supporting startup founders or SaaS businesses is a plus.
  • Familiarity with AI productivity tools like ChatGPT or Claude is an advantage.

Responsibilities

  • Manage complex executive calendars across multiple time zones.
  • Coordinate internal and external meetings by preparing agendas and materials.
  • Handle executive communications and manage inboxes.
  • Track executive priorities, initiatives, and action items to ensure deadlines are met.
  • Coordinate domestic and international travel arrangements.
  • Act as a communication bridge between executives and internal/external stakeholders.
  • Identify opportunities to improve workflows and operational processes.
  • Assist with expense tracking, reporting, and presentations.
