Requirements
- 3+ years of experience supporting founders, executives, or senior leaders.
- Previous experience as an Executive Assistant, Executive Operations Associate, or Operations Coordinator.
- Exceptional organizational and time-management skills.
- Excellent written and verbal English communication skills.
- Ability to prioritize competing responsibilities in a fast-paced environment.
- Strong problem-solving skills and ability to work independently.
- High level of professionalism and discretion with confidential information.
- Experience coordinating calendars and meetings across multiple time zones.
- Proficiency in Google Workspace, Microsoft Office, Slack, Notion, and Zoom.
- Ability to work according to US business hours.
- Experience supporting startup founders or SaaS businesses is a plus.
- Familiarity with AI productivity tools like ChatGPT or Claude is an advantage.
Responsibilities
- Manage complex executive calendars across multiple time zones.
- Coordinate internal and external meetings by preparing agendas and materials.
- Handle executive communications and manage inboxes.
- Track executive priorities, initiatives, and action items to ensure deadlines are met.
- Coordinate domestic and international travel arrangements.
- Act as a communication bridge between executives and internal/external stakeholders.
- Identify opportunities to improve workflows and operational processes.
- Assist with expense tracking, reporting, and presentations.
