Requirements
- 3+ years of experience supporting founders, executives, or senior leadership.
- Previous experience as an Executive Assistant, Executive Operations Associate, Operations Coordinator, or similar role.
- Exceptional organizational and time-management skills.
- Excellent written and verbal English communication skills.
- Strong attention to detail with outstanding follow-through.
- Ability to prioritize competing tasks in a fast-paced environment.
- High level of professionalism, discretion, and confidentiality.
- Strong problem-solving skills and ability to work independently.
- Experience coordinating calendars across multiple time zones.
- Comfortable working with Google Workspace, Microsoft Office, Slack, Notion, Zoom, or similar productivity tools.
- Experience supporting startup founders or high-growth companies is a strong plus.
- Experience within fintech, SaaS, or technology companies is preferred.
- AI fluency and familiarity with tools such as ChatGPT, Claude, or other AI productivity platforms is a plus.
Responsibilities
- Manage executives' calendars, scheduling meetings across multiple time zones while protecting focus time.
- Coordinate internal and external meetings, ensuring agendas, documents, and meeting materials are prepared in advance.
- Manage executive inboxes by prioritizing communications, drafting responses, and ensuring timely follow-up.
- Prepare meeting notes, action items, and follow-up communications.
- Arrange domestic and international travel, accommodations, and itineraries when required.
- Track company priorities, projects, and executive action items.
- Coordinate cross-functional initiatives to ensure deadlines and deliverables stay on track.
- Assist with documentation, reporting, and internal process improvements.
- Serve as a primary point of coordination between executives and internal teams.
- Draft professional communications on behalf of leadership.
