Requirements

  • 3+ years of experience supporting founders, executives, or senior leadership.
  • Previous experience as an Executive Assistant, Executive Operations Associate, Operations Coordinator, or similar role.
  • Exceptional organizational and time-management skills.
  • Excellent written and verbal English communication skills.
  • Strong attention to detail with outstanding follow-through.
  • Ability to prioritize competing tasks in a fast-paced environment.
  • High level of professionalism, discretion, and confidentiality.
  • Strong problem-solving skills and ability to work independently.
  • Experience coordinating calendars across multiple time zones.
  • Comfortable working with Google Workspace, Microsoft Office, Slack, Notion, Zoom, or similar productivity tools.
  • Experience supporting startup founders or high-growth companies is a strong plus.
  • Experience within fintech, SaaS, or technology companies is preferred.
  • AI fluency and familiarity with tools such as ChatGPT, Claude, or other AI productivity platforms is a plus.

Responsibilities

  • Manage executives' calendars, scheduling meetings across multiple time zones while protecting focus time.
  • Coordinate internal and external meetings, ensuring agendas, documents, and meeting materials are prepared in advance.
  • Manage executive inboxes by prioritizing communications, drafting responses, and ensuring timely follow-up.
  • Prepare meeting notes, action items, and follow-up communications.
  • Arrange domestic and international travel, accommodations, and itineraries when required.
  • Track company priorities, projects, and executive action items.
  • Coordinate cross-functional initiatives to ensure deadlines and deliverables stay on track.
  • Assist with documentation, reporting, and internal process improvements.
  • Serve as a primary point of coordination between executives and internal teams.
  • Draft professional communications on behalf of leadership.
