Requirements

  • Minimum 2+ years of experience as a Medical Receptionist, Front Desk Coordinator, or Patient Coordinator in a premium U.S. clinical setting.
  • Previous experience in a Medical Spa, Aesthetic, Cosmetic, Dermatology, or Plastic Surgery practice strongly preferred.
  • Outstanding verbal and written English communication skills.
  • Flawless grammar and clear articulation with little to no noticeable accent.
  • Strong baseline familiarity with cloud-based phone systems such as RingCentral.
  • Proficiency with digital scheduling matrices.
  • Ability to maintain a secure, private, and distraction-free home office environment.
  • Reliable high-speed internet connection.

Responsibilities

  • Manage inbound and outbound patient calls for multiple Med Spa locations with professionalism.
  • Address patient inquiries regarding aesthetic treatments, pricing, and office policies.
  • Route clinical inquiries and messages to on-site providers and management staff.
  • Coordinate consultations and appointments using Vagaro software.
  • Optimize provider calendars to maximize productivity and streamline patient flow.
  • Manage secure text communications for appointment reminders and patient follow-ups.
  • Maintain patient records, intake paperwork, and documentation within Vagaro.
