Requirements

  • Minimum 2 years of experience in travel agency operations, hospitality reservations, or travel coordination.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple bookings and deadlines simultaneously.
  • Excellent written and verbal English communication skills.
  • Experience with invoicing, payment tracking, and administrative processes.
  • Proficiency in Microsoft Office, particularly Outlook, Excel, and Word.
  • Experience using CRM systems.
  • Ability to work during US Eastern Time business hours.
  • Experience with Amadeus, Galileo, or Sabre is preferred.
  • Familiarity with Zoho CRM, Axus, Travefy, or Slack is preferred.
  • Experience supporting premium or luxury travel services is a plus.
  • Background in bookkeeping, accounting, or travel finance is a plus.

Responsibilities

  • Book and manage air travel through GDS platforms such as Amadeus, Galileo, or Sabre.
  • Coordinate hotel, villa, transportation, dining, and experience reservations.
  • Monitor upcoming departures and proactively identify operational issues.
  • Prepare and distribute travel documents, confirmations, vouchers, and itinerary packages.
  • Communicate with clients regarding trip logistics and documentation.
  • Support active travelers during schedule changes or disruptions.
  • Generate and track client invoices and reconcile supplier payments.
  • Maintain accurate booking records and documentation within CRM systems.
