Requirements

  • Hands-on ServiceTitan experience in timesheets, reporting, and workflows.
  • 2+ years as an Executive Assistant supporting an owner or GM.
  • Strong Excel/Google Sheets skills including VLOOKUP, XLOOKUP, and pivot tables.
  • Experience reconciling GPS/timekeeping data for payroll processing.
  • Availability to work 9:00 am–5:00 pm PST, Monday–Friday (40 hours/week).
  • Excellent spoken and written English communication skills.
  • Reliable computer with at least 8GB RAM, Intel i5/AMD Ryzen 5 or higher.
  • High-speed internet connection of at least 40MBPS.
  • Headset with noise-canceling mic and a webcam.
  • Must have a back-up computer and internet connection.

Responsibilities

  • Reconcile GPS data from 30+ trucks with ServiceTitan timesheets to ensure payroll accuracy.
  • Build and maintain weekly dashboards and reports for booking rates, technician metrics, and bonuses.
  • Perform weekly collections calls and maintain accurate records in ServiceTitan.
  • Manage executive inbox and calendar, including triage of priorities and meeting scheduling.
  • Identify operational bottlenecks and document new SOPs to improve workflows.
  • Draft professional internal and customer-facing communications.
