Requirements

  • 5+ years of experience in executive assistance, senior administrative support, or operational coordination roles.
  • Proven ability to manage complex executive calendars, multi-location travel, and high-priority scheduling demands.
  • Strong experience with project management tools (e.g., Asana) and structured workflow tracking.
  • Excellent written and verbal communication skills, with the ability to represent executive-level messaging clearly and professionally.
  • Experience coordinating board-level meetings, governance processes, or senior stakeholder engagements.
  • Strong problem-solving skills with the ability to anticipate issues and independently resolve logistical challenges.
  • High proficiency in managing multiple priorities in fast-paced, mission-driven environments.
  • Demonstrated ability to adapt processes, tools, and systems to improve efficiency and execution.
  • Exceptional discretion, judgment, and stakeholder management skills.

Responsibilities

  • Manage highly complex executive calendars and scheduling logistics, proactively resolving conflicts and optimizing the CEO’s time and priorities.
  • Oversee end-to-end travel planning, itineraries, and logistics, adapting plans dynamically to changing executive needs.
  • Develop, track, and maintain executive-level project plans using tools such as Asana to ensure alignment across priorities and deadlines.
  • Draft, edit, and manage high-level communications, including executive correspondence and external-facing messaging across platforms.
  • Manage expense reporting workflows, ensuring accuracy, compliance, and continuous process improvement in financial tracking.
  • Coordinate board meeting logistics (virtual and in-person), including agendas, materials, minutes, and follow-up actions.
  • Support board operations including onboarding, compliance tracking, demographic reporting, and annual documentation updates.
  • Manage conflict-of-interest processes, ensuring timely collection, tracking, and data integrity for governance requirements.
  • Support advisory council and learning tour logistics, resolving complex travel and stakeholder coordination challenges.
  • Provide informal guidance to administrative peers and contribute to improving organizational processes and operational systems.
