Requirements

  • 3+ years of experience in order management, operations coordination, or related administrative role.
  • Strong organizational skills and high attention to detail.
  • Proficiency in Excel or Google Sheets.
  • Experience working with multi-step operational processes.
  • Experience collaborating with international teams, vendors, or manufacturers.
  • Comfort working with Accounting and Finance teams on payment workflows.
  • Strong follow-up discipline.
  • Excellent professional written communication skills.
  • Ability to work independently with minimal direction.

Responsibilities

  • Receive and review order details and send Purchase Orders to factories within SLA.
  • Submit Proforma Invoices to Accounting for payment processing.
  • Track open approvals for UPC and master carton markings.
  • Monitor shipping arrangements with Freight Forwarders.
  • Escalate production or shipping delays to the Production Manager.
  • Drive follow-through across internal and external stakeholders to ensure payment and shipping milestones are met.
  • Support continuous improvement of operational workflows.
