Requirements:
Proven experience as an Executive Assistant or Virtual Assistant. Excellent English communication skills (written & verbal). Strong organizational and multitasking abilities. Experience using CRMs (Keller Williams CRM is a plus). Familiarity with social media platforms and basic digital marketing tasks. Ability to work independently in a remote, night-shift environment. Basic video editing skills are a plus but not required.
Responsibilities:
Manage and organize digital documents, contracts, and records. Handle daily communications via email, messaging platforms, and scheduled callbacks. Maintain trackers, logs, and organized documentation. Schedule, manage, and confirm meetings and calendar activities. Prepare presentation slides, talking points, and event-related materials. Conduct consistent outreach and follow-ups to existing and warm leads. Follow up via email, SMS, and outbound calls. Update, tag, and maintain accuracy of CRM data. Document call notes, statuses, and follow-up intervals. Strengthen relationships by sending value-driven content, reminders, invites, and educational material. Distribute content across social media platforms. Respond to comments, messages, and basic engagement inquiries. Upload, tag, and schedule posts aligned with client branding. Research potential speaking opportunities. Draft outreach messages or proposals to event coordinators. Manage applications, scheduling, logistics, and correspondence for speaking engagements. Support preparation of pitch decks, bios, photos, and promotional assets. Assist with administrative, research, marketing, and client-facing tasks as needed. Adapt to evolving business needs.
