Requirements:
Bachelor's Degree 3+ years of proven experience as an Executive Assistant or similar administrative role supporting senior leadership Experience in a law firm is highly regarded Excellent skills in Excel; ability to create reports, charts, graphs Excellent project management skills Ability to influence and make sound judgment decisions Team player with the ability to influence others in making ethical and sound decisions Excellent communication skills (client-facing and cross-functional) Highly organized and detail-oriented Strong time management and prioritization skills High level of confidentiality and discretion Self-motivated and comfortable working autonomously in a remote setting Available to work during US business hours | Monday-Friday Basic bookkeeping
Responsibilities:
Manage CEO's calendar (personal + professional) Oversee email inbox management Prepare and maintain firm-wide documents Maintain confidential digital files Ensure compliance tracking for attorney licensing and firm obligations Liaise with bookkeeper for payroll, invoicing, and budget monitoring Execute special projects assigned by the CEO Coordinate cross-functional priorities Schedule internal strategy sessions and performance check-ins Compile weekly operational reports Lead assigned CEO initiatives or pilots Support tool research and implementation projects Collaborate with assistants or external vendors Track firm subscriptions and vendor contracts Maintain master records of vendor contacts Plan internal events Manage practice management software and document storage tools Provide basic IT support for office software Coordinate IT setup and HR CRM for new hires Conduct introductory sessions for new hires Coordinate onboarding and offboarding task checklists Manage office supplies and equipment Oversee day-to-day office management duties Manage CEO's personal scheduling (appointments, activities) Coordinate with personal vendors and service providers Plan personal events (birthdays, anniversaries) Virtually handle personal errands and purchases Manage family document organization Ensure calendar clarity and balance between personal and professional Support light personal communications Provide discreet travel and privacy support
