Requirements:
1-2+ years as an Executive Assistant, Admin Specialist, Operations Partner, or supporting C-level executives Proven ability to manage calendars, inboxes, and founder/CEO-level communication Excellent written and verbal English communication skills Exceptional attention to detail, organization, and time management capabilities Comfortable with Google Workspace, Microsoft Office, and modern productivity tools Strong ownership mentality with ability to anticipate needs and take initiative High levels of confidentiality and professionalism Demonstrated ability to work remotely with leaders across time zones Ability to think critically, manage competing priorities with urgency and precision Demonstrated reliability in completing tasks and meeting deadlines consistently Bachelor's degree preferred Background in healthcare, startups, AgTech, telecommunications, or project management Experience building SOPs, internal systems, or operational documentation Exposure to AI tools for automation and productivity enhancement Familiarity with analytics, reporting, or data-driven decision support Experience supporting M&A, investor relations, or due diligence processes Experience with CRM systems or project coordination tools Basic spreadsheet skills Prior startup or high-growth company experience Proficient with Gmail, Outlook, Slack, Microsoft Teams, WhatsApp Proficient with Calendar & Scheduling Tools Proficient with Google Workspace (Docs, Sheets, Drive, Calendar) Proficient with Microsoft Office Suite (Word, Excel, PowerPoint) Proficient with Zoom or equivalent video conferencing platforms Proficient with AI Tools: ChatGPT, Claude, Perplexity, or similar Proficient with Notion, Asana, Trello, ClickUp, Airtable Proficient with Zapier or similar workflow automation tools Proficient with Pipedrive, HubSpot, Salesforce, ConnectWise Proficient with QuickBooks or similar bookkeeping tools Proficient with Amazon Seller Central, Shopify Proficient with Loom for video messaging Proficient with LinkedIn
Responsibilities:
Manage executive calendars, inboxes, and priorities Draft internal and external communications Prepare meeting briefs, agendas, and follow-ups Coordinate meetings across multiple time zones Manage task lists and ensure timely execution Maintain oversight of ongoing projects Maintain dashboards and documentation Create, update, and refine SOPs Build structure around recurring workflows Monitor task completion and reduce errors Streamline recurring workflows and support operational processes Facilitate team communication and progress tracking Support operations including vendor coordination Own complex calendar management Coordinate and book travel arrangements Handle inbox triage and email management Support legal and administrative documentation Coordinate personal appointments and reservations Protect executive time by managing schedule conflicts Conduct industry, competitor, and market research Compile research briefs and summaries Manage internal communications Research new tools and AI automations Support reporting on performance metrics Identify potential issues and propose solutions Assist with special projects and due diligence
