Requirements
- Experience as a Senior Executive Assistant, Executive Assistant, or similar administrative support role.
- Experience supporting an Australian business.
- Experience in property or real estate administration, buyer's agency support, property transactions, sales coordination, operations coordination, or client services coordination.
- Proficiency in Microsoft Office Suite.
- Experience using Salesforce or another CRM platform.
- Excellent written and verbal English communication skills.
- Strong organizational skills with the ability to manage multiple priorities.
- Exceptional attention to detail and accuracy.
- Ability to work independently while managing competing deadlines.
Responsibilities
- Provide high-level executive support, including diary management and priority coordination.
- Prepare professional client correspondence, reports, presentations, and meeting documentation.
- Coordinate property inspections, settlements, and key transaction milestones.
- Conduct property research, suburb analysis, and market updates.
- Maintain accurate CRM records and document management systems.
- Liaise with clients, real estate agents, brokers, conveyancers, and other stakeholders.
- Monitor deadlines, follow-up actions, and outstanding tasks.
- Use approved AI tools to improve workflow efficiency.
- Identify opportunities to improve systems, processes, and operational workflows.
- Deliver exceptional client service while supporting day-to-day business operations.
