Requirements
- 2+ years of experience in project coordination, program support, business operations, administration, reporting, or a related field.
- Experience gathering, organizing, and tracking information across multiple stakeholders, initiatives, or workstreams.
- Strong organizational and time management skills with the ability to manage deadlines and maintain attention to detail.
- Ability to create and maintain spreadsheets, dashboards, reports, presentations, and operational documentation.
- Strong written and verbal communication skills with the ability to summarize complex information clearly.
- Proficiency with Microsoft Office tools, including Excel, PowerPoint, Outlook, and Word.
- Experience supporting portfolio planning, governance activities, initiative intake, resource planning, or delivery tracking is preferred.
- Experience preparing leadership materials and supporting review meetings is a plus.
- Familiarity with product, strategy execution, business planning, or healthcare-related environments is preferred.
- Bachelor’s degree in business, healthcare administration, project management, communications, or a related field is preferred.
Responsibilities
- Coordinate intake processes and tracking activities for new requests, initiatives, resource needs, and delivery commitments.
- Maintain accurate portfolio inventories, including initiative status, ownership, funding details, dependencies, and key milestones.
- Monitor initiatives from initial intake through delivery transition, ensuring teams remain aligned on timelines, responsibilities, and follow-up actions.
- Prepare dashboards, reports, presentations, and status updates to support leadership reviews and portfolio discussions.
- Track risks, decisions, action items, and progress updates to improve visibility and accountability.
- Document meeting outcomes, commitments, and next steps to ensure teams maintain a shared understanding of priorities.
- Partner with planning, delivery, product, and business teams to collect information, resolve gaps, and support governance processes.
- Provide administrative and operational assistance to improve planning routines, reporting accuracy, and execution efficiency.
