Requirements

  • Minimum 2+ years of experience as a Medical Scheduler, Records Coordinator, or Medical Administrative Assistant within a U.S.-based practice.
  • Fully bilingual in English and Spanish.
  • Clear English pronunciation with little to no noticeable accent.
  • Demonstrated experience managing digital medical charts and release-of-information (ROI) protocols.
  • Experience managing high-volume scheduling matrices.
  • Exceptional multitasking abilities and high attention to detail.
  • Proficiency with EMR systems.
  • Knowledge of HIPAA compliance protocols.
  • Reliable high-speed internet connection and a secure, private, HIPAA-compliant home office.
  • Clear, professional headset for communication.

Responsibilities

  • Schedule new patient orthopedic consultations, follow-ups, and post-operative appointments within the EMR.
  • Proactively coordinate and manage provider calendars to maximize efficiency.
  • Handle outbound calls for appointment confirmations, reminders, and schedule adjustments.
  • Process, sort, and organize incoming and outgoing medical records and imaging.
  • Request missing clinical documentation and upload records into DrChrono.
  • Coordinate secure record transfers between external providers, facilities, and patients.
  • Answer phone calls to assist patients in both English and Spanish.
  • Update patient profiles, verify insurance details, and document interactions in EMR notes.
