Requirements

  • Proven experience as a Virtual Assistant or in a similar administrative role.
  • Experience working with native English speakers in an SMB environment.
  • Core software proficiency including Outlook, Excel, and Microsoft Teams.
  • Excellent written and verbal communication skills.
  • High attention to detail and ability to multitask.
  • Ability to work independently and take initiative.
  • Proficiency in project management tools such as Asana or equivalent.
  • Experience with scheduling software (Deputy) and childcare management tools (Xplor) is a bonus.
  • Dedicated home office space free from distractions.
  • Steady, fast internet connection (minimum 50 Mbps) with modem proximity for IP phone.

Responsibilities

  • Lead the administrative process for onboarding new families into childcare centers.
  • Manage phone and email inquiries from families regarding billing, holidays, and scheduling.
  • Assist center directors with internal reports and administrative processes.
  • Lead administrative onboarding for new staff and prepare draft rosters.
  • Manage calendars, coordinate appointments, and monitor inboxes.
  • Perform data entry, document preparation, and internal system updates.
  • Support project coordination, task tracking, and follow-ups.
  • Prepare reports, summaries, and presentations.
