Requirements
- 3+ years of experience in administrative support roles assisting business or executive leaders.
- Strong expertise in calendar management, including scheduling complex, multi-time-zone meetings.
- Excellent organizational skills with the ability to manage multiple priorities and maintain strong attention to detail.
- Proven ability to anticipate needs and resolve scheduling, travel, or logistical challenges with minimal supervision.
- Strong written and verbal communication skills with the ability to tailor messaging to different audiences.
- High level of professionalism, discretion, and ability to handle confidential information.
- Proficiency in Microsoft Office tools (Excel, Word, PowerPoint, Outlook).
- Experience with collaboration tools such as Zoom and Slack.
- Strong problem-solving skills and ability to work effectively in a fast-paced, evolving environment.
- Experience with AI tools or automation solutions is a plus.
Responsibilities
- Manage complex executive calendars, prioritize competing demands, and resolve scheduling conflicts while aligning with leadership priorities across multiple teams.
- Coordinate end-to-end travel arrangements, including flights, accommodations, and itineraries, ensuring accuracy and responsiveness to changing plans.
- Anticipate scheduling and logistical needs proactively, making adjustments based on evolving business priorities.
- Organize and support internal and external events such as town halls, leadership meetings, and team offsites, ensuring smooth execution.
- Partner with vendors and internal stakeholders to coordinate logistics, materials, and communications for meetings and events.
- Prepare, submit, and manage expense reports with accuracy and timeliness for leadership review.
- Identify opportunities to improve administrative processes and contribute best practices to enhance team efficiency.
- Collaborate closely with senior executive assistants and administrative peers to ensure consistent and high-quality support across leadership teams.
- Provide backup administrative support when needed to ensure continuity of operations.
