Requirements
- 4–7 years of experience in operations, program management, project management, product management, analytics, or executive support roles
- Strong fluency with AI tools and automation, using them regularly to improve efficiency and output quality
- High adaptability and comfort working outside of defined responsibilities or unfamiliar domains
- Strong communication skills with the ability to draft clear, professional, and concise business correspondence
- Excellent organizational and time management skills with the ability to manage multiple priorities simultaneously
- Proficiency with modern workplace tools such as Google Workspace, Microsoft Office, Notion, Slack, Asana, CRMs, and automation platforms
- Strong problem-solving mindset with a proactive, ownership-driven approach to execution
- Ability to operate with discretion, professionalism, and high trust in executive environments
Responsibilities
- Manage executive calendars strategically, ensuring priorities are protected and time is optimized across competing demands
- Handle communications including inbox management, drafting messages, and ensuring timely and professional follow-ups
- Coordinate meetings, travel, and day-to-day logistics to maintain seamless executive operations
- Support and track cross-functional projects, ensuring milestones, dependencies, and deadlines are clearly managed
- Identify inefficiencies in workflows and implement improved systems, tools, and automations where possible
- Leverage AI tools to accelerate research, drafting, automation, and operational execution
- Manage financial administrative tasks including expenses, invoices, and basic reporting with accuracy and discretion
- Collaborate with other business partners to share insights, improve processes, and enhance overall team effectiveness
