Requirements

  • Bachelor’s degree with 6+ years of experience in congress operations, or equivalent combination of education and experience (advanced degrees preferred).
  • 8–12+ years of experience in pharmaceutical or biotech congress management or related event operations roles.
  • Proven experience managing global or multi-region congress portfolios with both commercial and medical stakeholders.
  • Strong understanding of compliance frameworks governing healthcare and commercial-supported congress activities.
  • Demonstrated leadership experience, including team management, coaching, and organizational capability building.
  • Strong financial management skills, including budgeting, forecasting, and ROI analysis at scale.
  • Experience with vendor management, contract negotiation, and performance governance.
  • Proficiency with congress and enterprise tools such as Cvent, SAP, Workday, CRM systems, and analytics platforms.
  • Strong executive communication skills with ability to influence senior stakeholders across functions.
  • Highly organized, detail-oriented, and capable of managing complex, multi-stream operations under pressure.
  • Strong problem-solving skills with the ability to anticipate risks and drive proactive solutions.

Responsibilities

  • Lead end-to-end execution of global congress logistics and OL engagement scheduling across US and OUS programs.
  • Implement and maintain operating models, governance frameworks, and standardized workflows to ensure compliant and consistent execution.
  • Oversee Tier 1 and Tier 2 congress portfolios, ensuring alignment with commercial and medical strategic objectives.
  • Manage integrated planning across logistics (housing, sourcing, contracting, onsite execution) and OL engagement scheduling activities.
  • Serve as escalation point for operational, financial, and compliance risks, ensuring timely mitigation and resolution.
  • Lead and develop a team responsible for congress operations execution, including performance management and capability building.
  • Own consolidated budgeting, forecasting, and financial reconciliation for global congress programs.
  • Drive vendor strategy, including contract negotiation, SLA oversight, and cost optimization initiatives.
  • Ensure compliance with internal policies, regulatory requirements, transparency standards, and audit readiness.
  • Develop executive reporting, dashboards, and performance insights to support strategic decision-making and continuous improvement.
