  • 1–2+ years of administrative or patient coordination experience in a MedSpa, Cosmetic Surgery, or Dermatology practice.
  • Fluent knowledge of GLP-1 programs, neurotoxins, and aesthetic treatments.
  • Hands-on experience with Jane EHR.
  • Hands-on experience with aesthetic CRM platforms like Growth99 or GoHighLevel.
  • Flawless verbal and written English skills.
  • Professional and confident phone presence.

Responsibilities

  • Command the phone lines with a warm, sophisticated, and polished tone.
  • Take ownership of Growth99 / GoHighLevel CRM pipelines to convert leads.
  • Answer guest questions regarding pre- and post-care instructions and pricing.
  • Optimize appointment grids inside Jane EHR across multiple providers.
  • Collaborate to augment social media marketing efforts.
  • Monitor social media channels and respond to inquiries.
  • Execute semi-monthly private-pay billing cycles.
  • Send, track, and reconcile digital invoices for compounded therapies.
