Requirements
- 5+ years of experience supporting founders, CEOs, CFOs, or COOs.
- Experience in startup, DTC, e-commerce, SaaS, or high-growth environments.
- Strong experience with executive support fundamentals (calendar, inbox, communications).
- Experience in scaled DTC/ecommerce businesses.
- Strong exposure to financial processes (budgeting, reporting, expense tracking, P&Ls).
- Experience with legal/compliance processes (contracts, trademarks, patents).
- Familiarity with EOS/Traction methodologies (Level 10s, Rocks, Scorecards).
- Highly AI-native with daily use of tools like Claude, ChatGPT, or AI agents.
- Advanced proficiency with Google Workspace, Slack, Notion, HubSpot, and QuickBooks.
- Strong analytical mindset and process optimization skills.
- Ability to maintain confidentiality and handle high-growth, ambiguous environments.
- Availability to overlap with US Mountain Time hours (within 3 hours preferred).
Responsibilities
- Own and manage the CFO’s calendar, inbox, priorities, and follow-through across multiple workstreams.
- Act as a true execution partner bridging communication between leadership, vendors, legal, finance, and operations.
- Support business operations and strategic initiatives by driving accountability and project tracking.
- Coordinate vendor relationships, contracts, renewals, and operational due diligence.
- Assist with legal and compliance-related workflows including trademarks, patents, and documentation.
- Support financial operations by reviewing reports, budgets, invoices, and tracking vendor pricing.
- Improve systems, SOPs, workflows, and dashboards to reduce executive overhead.
- Leverage AI tools (Claude, ChatGPT, automation platforms) to optimize documentation and execution.
- Prepare meeting materials, agendas, and executive briefings.
- Support exit readiness initiatives and confidential data room processes.
