Requirements

  • 3+ years experience in administration, accounting support, or professional services support roles.
  • Strong organizational and time management skills with exceptional attention to detail.
  • Ability to manage multiple workflows and competing priorities effectively.
  • Strong written and verbal communication skills.
  • High level of professionalism, discretion, and confidentiality.
  • Proactive mindset with the ability to anticipate needs.
  • Proficiency in XPM and SharePoint.
  • Strong experience using Xero and XPN.
  • Confident use of cloud-based document management systems and workflow management platforms.
  • Proficient in Google Workspace and/or Microsoft Office Suite.
  • Experience in an Australian accounting firm (highly desirable).
  • Experience supporting accountants or financial services teams (highly desirable).

Responsibilities

  • Manage end-to-end client onboarding and documentation collection.
  • Prepare and coordinate client engagement letters and forms.
  • Track jobs and workflows to ensure adherence to deadlines.
  • Support accountants with job tracking and workflow coordination.
  • Assist with billing, invoicing, and debtor management.
  • Prepare and manage ATO correspondence.
  • Manage digital filing systems and ensure document audit readiness.
  • Handle email, diary management, and professional client communication.
  • Proactively identify and suggest administrative process improvements.
