Requirements
- 3+ years experience in administration, accounting support, or professional services support roles.
- Strong organizational and time management skills with exceptional attention to detail.
- Ability to manage multiple workflows and competing priorities effectively.
- Strong written and verbal communication skills.
- High level of professionalism, discretion, and confidentiality.
- Proactive mindset with the ability to anticipate needs.
- Proficiency in XPM and SharePoint.
- Strong experience using Xero and XPN.
- Confident use of cloud-based document management systems and workflow management platforms.
- Proficient in Google Workspace and/or Microsoft Office Suite.
- Experience in an Australian accounting firm (highly desirable).
- Experience supporting accountants or financial services teams (highly desirable).
Responsibilities
- Manage end-to-end client onboarding and documentation collection.
- Prepare and coordinate client engagement letters and forms.
- Track jobs and workflows to ensure adherence to deadlines.
- Support accountants with job tracking and workflow coordination.
- Assist with billing, invoicing, and debtor management.
- Prepare and manage ATO correspondence.
- Manage digital filing systems and ensure document audit readiness.
- Handle email, diary management, and professional client communication.
- Proactively identify and suggest administrative process improvements.
