Requirements

  • 5+ years in a senior operations role (COO, Director of Ops, or GM).
  • Experience within a professional services, coaching, or high-growth agency environment.
  • Proven track record of personally building and scaling operational systems.
  • Demonstrated ability to lead a distributed team.
  • Expert proficiency in ClickUp or similar project management software.
  • Expert proficiency in GoHighLevel or HubSpot CRM systems.
  • Expert proficiency in Slack.
  • Availability during Eastern Time core business hours.
  • High-velocity mindset with a focus on commercial outcomes and scalability.
  • Strong attention to detail in SOPs and automation workflows.

Responsibilities

  • Own the tech stack and ensure proper integration of PM, CRM, and communication tools.
  • Oversee the creation and maintenance of the company knowledge base, SOPs, and workflows.
  • Conduct weekly 1:1s with department heads to track progress against quarterly rocks.
  • Hold the team accountable to established performance standards.
  • Act as the central hub for major company initiatives such as event launches and geographic expansion.
  • Ensure projects stay on budget and on schedule.
  • Review departmental spending and budgets with the CEO.
  • Analyze operational data to identify trends in client churn, sales efficiency, and delivery capacity.
  • Own the operational cadence including daily huddles, lead-team meetings, and quarterly offsites.
