Requirements:
Detail-oriented with excellent organizational skills. Proactive, common sense, and a go-getter attitude. Bubbly, confident, and caring personality with the ability to build rapport easily. Comfortable and professional speaking with clients over the phone. Strong written and verbal communication skills with a professional, client-facing tone. Ability to multitask, prioritize, and meet deadlines in a fast-paced environment. Tech-savvy with experience using Microsoft Outlook, Teams, RingCentral. Advanced knowledge in Microsoft Excel is necessary. QuickBooks is a plus. Prior administrative experience in accounting, law, or financial services is preferred but not required.
Responsibilities:
Monitor and manage Outlook emails, responding professionally and promptly on behalf of executives. Manage executives’ calendars, schedule meetings, and set reminders. Coordinate and confirm client appointments in Outlook and Calendly. Track and update client cases within Canopy and internal systems. Organize and file documents in a methodical, easy-to-retrieve system. Assist with drafting, reviewing, and finalizing correspondence. Communicate with government offices and agencies on behalf of executive regarding client matters. Schedule business events, reminders, and team meetings. Manage simple projects to ensure deadlines and deliverables are met. Support with reception tasks: answer inquiries, assist with client intake, and route requests. Answer phones via RingCentral. Prepare professional presentations and client-facing materials. Create invoices, send invoices to clients. Assist with contacting clients to collect payments.
