Monitor and manage emails and Instagram DMs—respond to basic inquiries and clear out unnecessary messages Manage the CEO’s calendar and provide him with a daily agenda summary Coordinate speaking engagements, webinars, and other public-facing events Follow up after meetings to capture outcomes and note any necessary next steps Place and manage online orders (Amazon, Instacart, etc.) Upload client documents into TaxDome and create new client portals Maintain and update client data in TaxDome/CRM Organize digital files and enforce consistent naming conventions Collect client testimonials and Google reviews Schedule monthly/quarterly meetings with ongoing bookkeeping clients Identify clients using the Augusta rule and schedule related planning meetings Assist in document outreach for tax planning support Offboard clients (archive portals, disable access, prepare final deliverables) Track open questions from Theo and follow up as needed Check in with the manager regularly to identify any additional needs from the owner Assist with tax prep letters and P&L statements (high priority items)
