Requirements:
  • Being a go-getter—someone proactive, dependable, and willing to take initiative.
  • Being a strong team player and able to work independently with minimal direction is essential.
  • Experience as a Bookkeeper
  • Availability to work from 9 am PST - 1 pm PST, Monday-Friday.
Responsibilities:
  • Monitor and manage emails and Instagram DMs—respond to basic inquiries and clear out unnecessary messages
  • Manage the CEO’s calendar and provide him with a daily agenda summary
  • Coordinate speaking engagements, webinars, and other public-facing events
  • Follow up after meetings to capture outcomes and note any necessary next steps
  • Place and manage online orders (Amazon, Instacart, etc.)
  • Upload client documents into TaxDome and create new client portals
  • Maintain and update client data in TaxDome/CRM
  • Organize digital files and enforce consistent naming conventions
  • Collect client testimonials and Google reviews
  • Schedule monthly/quarterly meetings with ongoing bookkeeping clients
  • Identify clients using the Augusta rule and schedule related planning meetings
  • Assist in document outreach for tax planning support
  • Offboard clients (archive portals, disable access, prepare final deliverables)
  • Track open questions from Theo and follow up as needed
  • Check in with the manager regularly to identify any additional needs from the owner
  • Assist with tax prep letters and P&L statements (high priority items)
