Requirements
- Have 3+ years of hands-on bookkeeping experience, including full month-end cycles and bank reconciliations.
- Have strong QuickBooks skills; QuickBooks Desktop experience is a plus.
- Have experience with accounts payable, accounts receivable, and follow-up collections.
- Have exposure to U.S. sales tax filings, ideally across multiple states.
- Demonstrate high attention to detail, especially when billing high-dollar invoices.
- Have professional written and spoken English for customer and vendor contact about billing, payments, and quotes.
- Be comfortable learning new systems.
- Experience with Work 365, HubSpot, Microsoft licensing (CSP/EA), or another IT or SaaS billing environment is a plus.
- Have a track record of staying in roles long-term.
Responsibilities
- Enter bills and record deposits from the finance inbox twice a week.
- Sync and code bank feed transactions weekly, and record payroll in the correct month.
- Reconcile bank accounts and support the monthly review.
- Prepare accounts payable payment runs for approval and process approved payments through QuickBooks Bill Pay.
- Follow up with customers on invoices past net 45 and maintain the accounts receivable tracking sheet.
- Enter subcontractor timesheet data as invoices and process monthly partner commission payments.
- Send monthly consulting services invoices for the previous month.
- Prepare and send about 30 Microsoft licensing and services invoices each month, and perform light contract maintenance.
- Build quotes for Microsoft products and services, applying Microsoft contract knowledge across quoting, contract management, and invoicing.
- File monthly or quarterly sales tax returns for four to five states; once ramped up, submit Microsoft Partner Portal project claims, maintain the CRM, and support customer satisfaction surveys.
