Requirements
- Bachelor's degree in accounting, finance, business, or a related field, or equivalent experience.
- 3+ years owning full-cycle payroll processing, including multi-state payroll for exempt and non-exempt employees.
- Experience processing overtime and regular-rate premiums, bonuses, commissions, off-cycle payments, wage garnishments, child support orders, and benefit deductions.
- Working knowledge of federal, state, and local payroll tax and wage-and-hour compliance, including withholding, SUI/SDI, pay-frequency and final-pay rules, and taxable treatment of earnings and deductions.
- First-hand payroll reconciliation experience covering payroll register to general ledger, payroll liability and clearing accounts, tax withholdings, benefit deductions, and accruals.
- Experience resolving payroll variances and maintaining audit-ready support from timecard through payment and journal entry.
- Foundational GAAP knowledge, including debits and credits and accrual accounting, and experience preparing payroll journal entries.
- Experience with Sage Intacct or a comparable general ledger system; experience beyond QuickBooks is expected.
- Strong Google Sheets or Excel skills, including lookups and pivot tables, for reconciliations and variance analysis.
- Current FPC or CPP certification is preferred.
- Experience with HR and payroll platforms such as ADP, UKG, Paychex, or CoAdvantage is preferred.
- Experience with multi-entity, fund, or grant-funded accounting, month-end close, audits, or payroll automation is preferred.
Responsibilities
- Run assigned exempt and non-exempt payroll cycles, including overtime, regular-rate premiums, bonuses, commissions, off-cycle runs, and corrections.
- Maintain pay rates, worksite assignments, deductions, and direct deposit in the CoAdvantage PEO platform.
- Process new hires, terminations, and pay changes with HR; review timecards and drive timely supervisor approvals.
- Verify retroactive pay approvals, confirm hours have not already been paid, and maintain the retro pay tracker and support.
- Prepare payroll journal entries coded to the correct entity, program, and account.
- Reconcile wages payable, tax withholdings, benefit deductions, accrued PTO, and clearing accounts; research payroll-to-GL variances and own payroll accruals for month-end close.
- Apply federal, state, and local payroll rules; support multi-state tax filings and notices, and process wage garnishments and support orders.
- Maintain traceable payroll documentation and prepare reconciliations, schedules, and sample support for financial statement and benefit plan audits.
- Document payroll procedures, maintain supervisor FAQs and decision guides, and use AI and automation to reduce manual work and errors.
