Requirements

  • Bachelor’s degree, ideally in advertising, marketing, communications, or journalism.
  • 0-2 years of prior work experience in a client service/agency setting or related internship.
  • High level of computer competency.
  • Intermediate or advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, MS Project, and Outlook).
  • Strong written and verbal communication skills.
  • Working knowledge of timeline and schedule development (helpful).
  • Experience supporting a project manager or marketing team with task coordination and deadline tracking (helpful).

Responsibilities

  • Track project deliverables through all departments and ensure deadlines are met.
  • Manage the client medical/legal/regulatory (MLR) process, including submissions and status updates.
  • Oversee internal and external meeting coordination, including taking meeting notes and providing status updates.
  • Review invoicing documents and final reconciliations under supervision.
  • Prepare Sunshine Act reports and other ancillary client reports.
  • Collaborate with the logistics vendor on site selection, venue contracting, travel, and AV equipment.
  • Distribute assignment reports and facilitate assignment team meetings.
