Requirements

  • Previous experience in a medical or mental health office, specifically with scheduling and referral coordination.
  • Working knowledge of Electronic Medical Records (EMR) systems.
  • Experience with Microsoft Excel, Word, and other computer programs.
  • Demonstrated ability to work within a team with minimal direct supervision.
  • Excellent verbal and written communication skills across phone, email, text, and chat.
  • At least 2 years of customer service experience preferred.
  • Ability to remain flexible in a fast-paced, evolving work environment.
  • Strong problem-solving skills and a solution-based approach to challenges.
  • Exceptional attention to detail.
  • Professional attitude and collaborative work style.

Responsibilities

  • Facilitate the execution of clinician-developed care plans for outpatient mental health services.
  • Manage client scheduling needs, including calendar management and rescheduling appointments.
  • Act as the first point of contact for client inquiries via phone, text, and email.
  • Provide administrative support to clinicians, including documentation and scheduling logistics.
  • Collaborate with Clinical, Billing, and Intake teams to ensure continuity of care.
  • Coordinate services within Headlight and externally, including pharmacy or insurance-related tasks.
  • Track client progress and follow up after appointments.
  • Maintain accurate, detailed client records and log interactions in company systems.
  • Uphold organizational policies and ensure compliance with HIPAA and professional standards.
