Requirements
- Previous experience in a medical or mental health office, specifically with scheduling and referral coordination.
- Working knowledge of Electronic Medical Records (EMR) systems.
- Experience with Microsoft Excel, Word, and other computer programs.
- Demonstrated ability to work within a team with minimal direct supervision.
- Excellent verbal and written communication skills across phone, email, text, and chat.
- At least 2 years of customer service experience preferred.
- Ability to remain flexible in a fast-paced, evolving work environment.
- Strong problem-solving skills and a solution-based approach to challenges.
- Exceptional attention to detail.
- Professional attitude and collaborative work style.
Responsibilities
- Facilitate the execution of clinician-developed care plans for outpatient mental health services.
- Manage client scheduling needs, including calendar management and rescheduling appointments.
- Act as the first point of contact for client inquiries via phone, text, and email.
- Provide administrative support to clinicians, including documentation and scheduling logistics.
- Collaborate with Clinical, Billing, and Intake teams to ensure continuity of care.
- Coordinate services within Headlight and externally, including pharmacy or insurance-related tasks.
- Track client progress and follow up after appointments.
- Maintain accurate, detailed client records and log interactions in company systems.
- Uphold organizational policies and ensure compliance with HIPAA and professional standards.
