Requirements

  • Associate’s or Bachelor’s degree in Business Administration, a related discipline, or equivalent professional experience.
  • 2–4 years of experience in administrative support, office coordination, executive assistance, or a similar role.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines effectively.
  • Excellent written and verbal communication skills with a professional approach to stakeholder interactions.
  • High attention to detail and commitment to accuracy in all administrative tasks.
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Familiarity with virtual meeting platforms and basic audio-visual technologies.
  • Ability to manage confidential information with discretion and sound judgment.
  • Strong customer service mindset with excellent interpersonal skills.
  • Ability to work effectively both independently and as part of a distributed team.
  • Flexibility, adaptability, and confidence working in a changing business environment.

Responsibilities

  • Provide professional administrative support to senior leaders, ensuring timely follow-up and effective coordination of activities.
  • Manage calendars, schedule meetings, coordinate logistics, and support virtual and in-person meeting preparation.
  • Arrange domestic and international travel, including transportation, accommodations, and detailed itineraries.
  • Prepare and process expense reports while ensuring accuracy and timely submission.
  • Develop and format correspondence, reports, presentations, and other business documents.
  • Coordinate conference room reservations, catering requirements, and virtual meeting technology needs.
  • Maintain organized electronic and physical filing systems while ensuring confidentiality of sensitive information.
  • Support purchase order requests and collaborate with finance and sourcing teams on vendor payment processes.
  • Prioritize multiple responsibilities, meet deadlines, and provide updates on ongoing activities.
